CREEK and REC POOL LODGE GUIDELINES
Event Reservation Time
Please check the reservation and other permits issued to ensure that reserved
times are correct. It is recommended that the group leader/sponsor bring
a copy of the reservation permit to the event. In order to make the event
more enjoyable; our staff needs time for facility preparation and setup.
To avoid any inconvenience to the group, please inform everyone who is
involved with your event of the actual start time and are not surprised
of any changes.
Catering
All catered events at the Lodges must be catered by University Catering
or by a registered off-campus caterer. Catering time must be scheduled
for their setup, takedown, and cleanup with CEVS. The Lodge facility setup
will be coordinated with CEVS, Catering, MU Lodges and the Project Facility
Manager (PFM) to assure that the facility is ready in the time frame allowed.
Use of Facility
It is the group's responsibility to leave equipment, fixtures, and furnishings
in the same location and condition in which they were found prior to the
start of the event. The group will be billed for any extra cleaning, large
room resets, or for broken or missing equipment, furniture, or fixtures.
Room capacity, fire, safety, and alcoholic beverage regulations will be
monitored by the PFM on duty. Any material that is brought into the facilities
must be removed when you leave. Lodges will not be responsible for any
lost or stolen material during the event or for supervising all guests
and adhering to campus rules and regulations. Further reservation approvals
are based on event history, availability, and CEVS/MU Lodges Approval.
Setup
MU Lodges will take care of all the interior setup options. Contact campus
Custodial for exterior setups at (530)752-1831. All lodge furniture is
used for interior use only. Lecterns, podiums, whiteboards, and easels are available. Please contact CEVS and MU Lodges for special
authorization and arrangements for the posting of flags, banners and signage.
Special Building Considerations
Dances often occur at the Lodges. The music is always off and the lights
are on at 12:30am. For safety purposes, please comply with all posted
room capacity regulations. Smoking is not permitted in any of the facilities.
Bicycles, rollerblades and skateboards are not allowed in any of the facilities.
Animals are not permitted in the facilities except for seeing-eye and
service dogs. Posting, stapling, taping, gluing or thumb tacking on walls
are not permitted in any of the facilities. No open flames are allowed.
Only authorized heating-type elements or approved stationary candleholders
used by University Catering are permitted. Fire permits are required for
any open flame and use of the fire pit at PCL. A permit is not required
for the barbecues.
Birdseed, hay, rice, glitter and confetti (metallic or paper) are not
appropriate for use in or around lodge facilities. If they are used, the
client will be responsible for the cost of cleaning up these materials.
Upon Arrival
The group must check the facility upon arrival to see that the setup is
correct. The group leader is encouraged to review the facility. If there
is a problem with the setup the PFM on duty will immediately fix the setup.
Care must be taken not to damage the floor, furniture or walls while using
the facility. If the group is planning to decorate, and have deliveries
or pickups during the event, please make arrangements with CEVS to allow
this during the event time. The group will be billed for any extra cleaning,
large room resets, or for broken or missing equipment, furniture, and
fixtures.
Billing
At the completion of the event the PFM on duty will ask to do a walk through
to the lodge and and will note any additional pending charges. The Group/Sponsor
is responsible for payment of all charges incurred during the event.
Fees
Late arrivals/No show Fee
Groups arriving late will have their reservations held for the entire
confirmed reserved time. In the event of a late arrival, the group leader/sponsor
may want to contact the PFM working at the lodge (listed under Service
Numbers) to update their event status. Clients who do not arrive for their
reservation will be billed for the entire event time, along with any special
requests.
Cancellation Fees
A fee of $50, $75, or 100% of the cost of the event will be charged if
the event is not canceled 60, 30, or 2 calendar days prior to the reservation,
respectively.
Late Reservation Changes Fee
Reservation changes must be coordinated with CEVS and MU Lodges at least
14 calendar days prior to the event to avoid any additional costs for
any major reservation changes.
Wedding Fees
There is $30 nonrefundable wedding coordination fee.
Rain Hold Fee
Rain hold reservations are scheduled, staffed and billed based on the
reservation request. Rain hold cancellations will be handled the same
way as any other lodge reservation.
Special/Early Opening/Late Close
If an early opening/late close is requested, CEVS will contact MU Lodges
to review and approve specific information regarding event times, signage
and security access to the building. Special openings, including breaks
and holidays, require prior approval and are scheduled by CEVS and MU
Lodges. Lodge facilities are reservable Sun. through Thurs.: 7am-11pm,
Fri. and Sat.: 7am-1am.
Special Permits
Alcohol Permits
Alcoholic beverages may be served only if CEVS approved and issued
an alcohol permit, which must be submitted 10 working days prior to the
event. The Group Leader/Sponsor who signs and assumes responsibility
for adhering to all the conditions stated on the permit must be present
during the entire period of alcohol consumption. Alcohol may only
be served Monday through Friday after 5 p.m. for up to four hours, and
Saturday & Sunday after 12 noon for up to four hours. Alcohol consumption
is restricted to the specific reservation area. Any other time frames
or conditions require special approval by CEVS and must be reviewed by
MU Lodges. If there are any questions, refer to the specific comments
and general guidelines on the alcohol permit or call CEVS. Kegs are not
permitted in carpeted meeting rooms.
Sound Permits
If the group plans to have amplified sound on the exterior grounds of
the Lodges, an Amplified Sound Permit must be received by CEVS for approval
and issued at least 5 working days prior to the event. The group leader/sponsor
is responsible for complying with the conditions stated on the permit,
and must be present during the time frame noted on the permit. Sound levels
will be monitored.
Fundraising Applications
If the group would like to collect money or solicit donation s for fundraising,
the group must obtain a Fundraising Application from the Student Programs
and Activities Center (SPAC) and it must be approved 5 working days prior
to the event. A permit will then be issued and a copy will be sent to
MU Lodges.
Parking
There are limited number of parking spaces near Putah Creek Lodge and
Recreation Pool Lodge. Parking meter/ticket dispensers may be used, or
parking permits may be purchased from coin-operated machines located in
the lots. Day permits are required between the hours of 7am-5pm. Pay parking
is allowed at meters Mon.-Fri.: 7am-10pm for a fee. Night parking permits
are required Mon.-Fri. after 5pm, except during the summer. Parking permits
are not required after 10pm during the weekdays and on the weekends. Parking
near facilities is restricted to loading and unloading only. These areas
are subject to fines; use only authorized parking lots to avoid fines.
Directional Parking/Event Signs
Directional parking/event signs may be obtained for a fee through CEVS.
Phones
Clients may use courtesy phones that are provided at all lodge
facilities. Facility office phones are for business use only. For specific
locations please contact the MU Lodge office located under Service Numbers.
If additional phone lines are needed, contact our department and IT
Communication Resources with specifics. Telecommunication Devices
for the hearing impa ired are also available.
Ethernet Connections
The Rec Pool Lodge has ethernet accessibility, which must be activated
14 day prior to event through IT Communication Resources an activation
fee will be charged. Please refer to the Recreation Pool Lodge Setup for
the IP addresses and NAM numbers for further details. Clients must provide
RJ-45 ethernet cord. If you need help with the ethernet connection please

Emergency Messages
If the group leader/sponsor must leave an emergency number, he or she
should provide the PFM with their name, time and location in order for
the messages to be forwarded.
Barbecues
Putah Creek Lodge and Recreational Pool Lodge have permanent barbecue
structures available at no cost. The PFM will assist the sponsor/designee
in the correct use and cleaning of units. The group must provide their
own BBQ supplies and utensils.
Patio/Grounds
Patio and grassy areas must be coordinated, approved and reserved through
CEVS. Special restrictions and considerations apply and standard fees
will be assessed. Custodial services, special services, or outside contractors
provide all exterior equipment and arrangements. No sponsor setups or
takedowns are permitted.
Recycling
Recycling containers are available at the lodges. Assistance in recycling
bottles, cans, plastic containers, newspapers, white and colored paper
is encouraged and appreciated. For further recycling information, please
contact MU Lodges (or the PFM during the event) and R4 (located under
Service Numbers).
Exceptions
Requests for exceptions to Lodge policy require approval from the Director
of MU Auxiliaries at least 60 days prior to the event.
